We are seeking a proactive and organised Office Administrator to join our team and contribute to the smooth operation and growth of our property management department.

    Position Overview: As the Office Administrator, you will play a crucial role in facilitating the efficient functioning of our property management department. Reporting directly to the Director and indirectly to the Senior Property Manager, you will handle various administrative tasks, ensure compliance with regulations, and support the team in delivering excellent customer service.

    Key Responsibilities:
    • Provide comprehensive administration support for Harcourts Rotorua/Whakatane.
    • Collaborate with the team in a professional and diplomatic manner.
    • Actively contribute to the Harcourts ETB Realty Ltd team and uphold the organisation's values.
    Key Tasks:
    • Handle reception duties, including greeting visitors, answering calls, and managing emails.
    • Execute documentation accurately and efficiently.
    • Maintain knowledge of property management software and ensure its effective utilisation.
    • Develop strong relationships with colleagues and attend office meetings and functions.
    • Ensure compliance with relevant Acts and regulations, including the Residential Tenancies Act 1986.
    • Process tenant rent payments, administer water rates, and manage creditor payments.
      Support property managers with various tasks, such as preparing tenancy agreements and inspection reports.
    • Attend training sessions and actively participate in procedure creation or review.

    Previous experience with Property Management software, the Property Management industry, or similar roles would be advantageous, however, we welcome applicants with some financial or administration experience who demonstrate a willingness to learn and excel in the role.
