  • We're on the hunt for a switched-on Transport Administrator to join our team and help keep our haulage operation running smoothly.

    We're a friendly, family-oriented team where you're known by name, not a number. We look after our people, and we're looking for someone who'll enjoy being part of that.

    It's a systems-heavy admin role, so you'll be working daily across several software platforms covering compliance, accounts, and vehicle tracking. If you're confident jumping between software platforms and take pride in keeping data clean and audit-ready, we'd love to hear from you.

    What You'll Be Doing

    Compliance & Operations:
    • Manage RUC licensing, COF/WOF schedules, driver logbook/licence records, and vehicle servicing/licence reminders
    • Support driver scheduling, dispatch, job entry and run sheets
    • Coordinate VBS, port and ICOS bookings
    • Maintain vehicle tracking system geofences and assist with permit and compliance administration, plus staff training on our operations and telematics systems
    • Manage driver paperwork
    Finance & Invoicing:
    • Enter accounts payable and process timesheets
    • Set up new jobs and subcontractor/prequal records
    • Complete docket checks, EOM reports, and EOM invoicing
    • Assist with project/job claims
    Site & Subcontractor Support:
    • Chase and sort subcontractor timesheets/dockets
    • Send out insurance certificates
    • Support H&S monitoring, site audits, inductions, and toolbox administration
    • Manage accommodation bookings
    General:
    • Maintain the shared inbox, handle customer updates and routine emails, and manage weekly filing
    • Accurate data entry across compliance, finance, and operational systems
    • Track projects and follow up outstanding actions
    • General reporting and office support
    • Assist with onboarding and general IT troubleshooting for the team
    • Back up the Office Administrator as needed
    What We're Looking For:
    • Advanced IT literacy - confident across multiple software systems, quick to pick up new platforms, comfortable troubleshooting basic issues for the team
    • Experience in transport/trucking administration a strong advantage (RUC, logbooks, COF/WOF)
    • Comfortable with accounting and timesheet/payroll software
    • High attention to detail - this role carries real compliance and audit weight
    • Able to work flexibly, with longer days around month-end for invoicing and reporting
    • Pressure-Resilient: maintained composure during peak hours and service disruptions
    • Be able to translate spoken operational decisions into immediate documentation or actions
    Hours

    Full-time, office-based, Monday to Friday. Hours to be discussed based on the successful applicant's experience and operational requirements, with an expectation of longer days around month-end.
