The opportunity
We're looking for an experienced business administrator to become our Business Support & Finance Lead - the operational backbone of our organisation.
Reporting directly to the Chief Executive, you'll oversee our finance function while providing executive support, coordinating Board administration, and ensuring our business systems and office operations run smoothly.
This is a diverse role where no two days are the same. You'll move between financial reporting, payroll, Board papers, office management, executive support and organisational projects, making a real contribution across the business.
You'll be responsible for:- Managing the day-to-day finance function using XERO, including accounts payable, accounts receivable, payroll, reconciliations and invoicing.
- Preparing monthly financial reports, budgets, forecasts and year-end financial information.
- Processing GST, PAYE, FBT and other taxation requirements.
- Supporting financial planning and providing financial insights for organisational projects.
- Providing high-level executive support to the Chief Executive.
- Coordinating Board meetings, agendas, papers and minutes.
- Managing office administration, systems, suppliers and organisational processes.
- Maintaining key contracts and ensuring systems remain compliant and effective.
- Supporting internal projects, website updates and continuous business improvement initiatives.
About you
You'll be highly organised, proactive and enjoy working in a small team where everyone contributes.
You'll bring:- Proven experience using XERO across financial processing, reporting and financial planning (essential).
- Strong finance, accounting or business administration experience.
- Excellent organisational skills and exceptional attention to detail.
- Confidence working independently and taking ownership of your work.
- Strong communication and relationship-building skills.
- A commercial mindset with excellent problem-solving ability.
- Experience preparing Board documentation and supporting senior executives is highly desirable.
- Advanced Microsoft Office skills.
- A full New Zealand driver's licence.
- New Zealand Residency or New Zealand Citizenship is essential.
Experience with HubSpot, SurveyMonkey and BoardPro would be advantageous but is not essential.
