    We are looking for a highly organised Service Planning & Parts Coordinator to play a critical role in ensuring jobs are planned properly, fully resourced, and ready before execution.

    About the Role

    This is a central operational role that ensures every service job is properly planned, fully resourced, and ready before a technician attends site.

    You will sit at the centre of our service operation, working closely with:
    • Service Coordinator (scheduling & customer communication)
    • Service Operations Manager (technical, team and performance)
    • Administration & Purchasing Manager (supplier and pricing support)
    • Waikato Branch Manager (for service support)
    Key Responsibilities

    Job Planning & Readiness (Core Focus):
    • Review upcoming jobs weeks in advance
    • Confirm parts availability
    • Order required parts proactively
    • Allocate stock to jobs
    • Prepare complete job packs (parts + job details)
    • Ensure jobs are fully prepared prior to technician attendance, including parts availability, scope clarity, and job instructions.
    Inventory & Stock Control:
    • Manage inwards/outwards goods
    • Maintain accurate stock levels in the system
    • Set and monitor safety stock levels
    • Conduct regular cycle counts and stock takes
    • Manage obsolete or slow-moving stock
    Parts Planning & Forecasting:
    • Analyse usage trends and common service parts
    • Pre-order high-use items
    • Reduce urgent orders and freight costs
    • Support long-term inventory planning
    Supply Chain & Logistics:
    • Coordinate supplier orders and deliveries
    • Book and track freight and manage timelines
    • Prioritise urgent, job-critical parts
    System & Data Accuracy:
    • Maintain accurate job and stock data (Simpro)
    • Track job readiness status
    • Support reporting and visibility across the team
    About You

    You are:
    • Highly organised and detail-oriented
    • Systems-focused and comfortable with software/CRM systems
    • Proactive and able to plan ahead
    • Work collaboratively with colleagues to build a constructive team
    Ideal Backgrounds:
    • Service coordination or planning
    • Inventory or stock control
    • Trade counter or parts environment
    • Operations support roles
