We are currently looking for an organised and detail-focused Finance & Operations Administrator to join our growing team in Whakatane.
This is a varied part-time role ideal for someone who enjoys keeping systems running smoothly, has strong financial administration skills, and thrives in a structured environment.
Working closely with the business owners and wider team, you'll play a key role across finance, payroll support, health & safety administration, and operational coordination.
Key Responsibilities
Financial Management:- Process supplier invoices and manage creditor payments
- Actively manage debtors and ensure timely collections
- Maintain financial records in MYOB
- Assist with the transition from MYOB to Xero over the coming months
- Manage Fergus job costing software and ensure monthly invoicing is completed
- Prepare monthly financial reporting including P&L and cashflow reporting
- Prepare GST returns and liaise with the company accountant
Payroll & HR Administration:- Collate timesheets and support payroll processing
- Maintain employee records and employment documentation
- Manage onboarding administration and compliance requirements
Health & Safety:- Maintain health & safety systems and documentation
- Ensure inductions and PPE records are up to date
- Keep compliance documentation audit-ready
Operational Support:- Manage supplier accounts and relationships
- Support internal systems and process improvements
To be successful in this role, you'll need to be a reliable and detail-focused administrator with strong financial and organisational skills. You'll enjoy working in a structured environment, taking ownership of processes, and supporting the smooth day-to-day running of the business.
You will ideally have:- Previous experience in finance and administration
- Strong attention to detail and accuracy
- Experience using MYOB (Xero experience advantageous)
- Excellent organisational and time management skills
- Ability to manage multiple priorities and deadlines
- Strong communication and interpersonal skills
- A calm, proactive, and process-driven approach
- Confidence working independently and within a team
This is a part time role working 9:30 - 2:30, 5 days per week, so is perfect for someone looking to work around family / school commitments
