Red Square Construction Ltd is a reputable, growing company specialising in high-quality residential construction across the North Shore and Rodney areas. We handle everything from new builds and extensions to renovations, reclads, retaining walls, and decks.
We are seeking an experienced Office Manager to take ownership of our administrative operations and support the smooth running of the business. This role is ideal for someone who is confident, highly organised, and comfortable working in a fast-paced environment.
We are looking for someone who can demonstrate the following skills and attributes
Essential:- Strong written and verbal English communication skills
- Confident phone manner and professional client communication
- High level of proficiency in Microsoft Excel or Google Sheets
- Strong organisational and time-management skills
- High attention to detail and accuracy
- Ability to manage multiple priorities and deadlines
- Reliable, trustworthy, and able to work with minimal supervision
Highly regarded:- Experience in a construction or trades-based business
- Familiarity with construction terminology, trades, and subcontractors
- Experience using CRM or job management software
- Accounting software experience (Xero or similar)
- Experience with cloud storage systems (Google Drive / OneDrive)
- Ability to build or maintain basic dashboards or budget tracking
As Office Manager, you will be the central point of contact for administration, communication, and data management. You'll work closely with management, clients, suppliers, and subcontractors to ensure projects run efficiently behind the scenes.
This will involve:- Managing high-volume email communication with clients, subcontractors, and suppliers
- Answering, screening, and managing phone calls
- Coordinating calendars, meetings, and appointments
- Preparing, managing, and filing documents including quotes, contracts, invoices, and plans
- Maintaining and updating Excel/Google Sheets for quotes and job tracking; project stages and variations; and invoices, payments, and budget tracking
- Tracking follow-ups, outstanding items, and deadlines
- Using and maintaining CRM, job management, and accounting systems
- Supporting management with reporting and administrative tasks
- Ensuring accurate record-keeping and document control
- Identifying issues early and escalating when required
- Following and assisting in improving internal systems and SOPs
