Bayleys is seeking an exceptional Executive Assistant to support the Director of Agency Sales across Bayleys Canterbury and Wanaka. This senior role is pivotal in ensuring the smooth operation of the sales function while playing a key role in the onboarding, training and operational support of both new and experienced agents. You will provide high-level, confidential executive support to the Director of Agency while also contributing to the operational efficiency of the sales team. A significant focus of the role will be managing agent onboarding and coordinating training across REINZ, PropertyGuru and Bayleys' in-house systems, ensuring new team members are set up for success from day one. Key responsibilities include:- Comprehensive executive support including diary management, meeting coordination, travel arrangements and correspondence
- Managing onboarding processes for new and transferring agents, including induction, system access and training coordination
- Delivering and coordinating training in REINZ, PropertyGuru and Bayleys internal platforms
- Preparing and distributing reports, KPI summaries and performance dashboards via Property Suite and Power BI
- Supporting recruitment processes including advertising, interview coordination and candidate management
- Assisting with sales events, awards functions and key divisional initiatives
- Overseeing operational systems, documentation and compliance including AML and agency agreements
- Acting as a trusted liaison between the Director of Agency, sales managers and wider support teams
About you
You will bring a strong executive assistant or senior real estate administration background, combined with outstanding organisational capability and attention to detail. You are proactive, adaptable and confident managing competing priorities while maintaining the highest standard of professionalism.
You will also have:- Advanced Microsoft Office skills and confidence learning new systems
- Excellent written and verbal communication with strong proofreading skills
- Experience in coordinating training programmes
- Ability to work under pressure and meet tight deadlines
- Sound judgement and discretion when handling sensitive information
- A collaborative approach and genuine care for delivering high-quality outcomes
Experience within real estate will be highly regarded.
