    Position Overview

    Personal Assistant to Heads of Departments and Foundation Coordinator role requires strong organisational skills, the ability to manage competing priorities, and a passion for bringing people together through well-executed meetings, trainings, and functions.

    About the role:

    In this diverse role, you will report directly to the Business Partnership Manager and provide administrative support to the NAI Harcourts New Zealand General Manager. You will also coordinate the Harcourts Foundation - the charitable arm of Harcourts that raises funds to support community-based organisations and initiatives.

    Key responsibilities include:
    • Managing and maintaining content on intranet pages for business partners, NAI Harcourts, and Foundation initiatives
    • Preparing Business Partner annual contracts and spreadsheets and compiling quarterly newsletters
    • Coordinating the Harcourts Foundation grant process, maintaining relationships with business owners and charities, and managing Foundation communications
    • Supporting the NAI Harcourts General Manager with newsletters, digital magazines, databases, meetings, and annual conference events
    • Maintaining systems, procedures, and content to ensure smooth operations across all areas of responsibility.
    This is a full-time role in a fast-paced, people-first environment where your organisational skills and initiative will shine.

You have excellent communication skills and the ability to build and maintain strong relationships with internal and external stakeholders. You take ownership of your work, demonstrate initiative, and maintain a high level of accuracy and attention to detail.

    To succeed in this role, you will have:
    • Proven experience as a Personal Assistant or in a coordinator role, preferably supporting multiple stakeholders
    • Experience managing databases, newsletters, intranet content, or digital communications.
    • Exceptional organisational, time management, and prioritisation skills
    • Strong written and verbal communication skills
    • Proficiency in Microsoft Office including Excel, and confidence learning new systems
    • A proactive and motivated approach, with a sense of humour
    • A positive attitude and alignment with the Harcourts values.
