  • We are seeking a highly organised and proactive Personal Assistant / Administrator to support the General Manager & Finance Manager by managing administrative tasks, scheduling, event coordination and organizing supplier arrangement for services.

    The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment. This role involves handling confidential information with discretion while ensuring efficient day-to-day operations.

    Key Responsibilities:
    • Administrative & Scheduling
      - Manage calendars and schedule meetings, appointments, and conference calls.
      - Coordinate travel arrangements, including flights, accommodations, and itineraries.
      - Prepare meeting agendas, take minutes, and follow up on action items.
      - Handle email correspondence, phone calls, and document filing.
    • Reporting & Documentation
      - Compile reports, presentations, and spreadsheets as required.
      - Maintain and update company records, databases, and personnel files.
      - Assist in drafting internal communications, memos, and policy documents.
    • Event Planning & Coordination
      - Organise company events, conferences, and staff training sessions.
      - Arrange venues, catering, and logistics for meetings and events.
      - Support with internal team-building initiatives and corporate functions.
    • General Support & Office Management
      - Assist in onboarding new employees, ensuring all necessary paperwork is completed.
      - Assist with organizing supplier service arrangements related to insurance, IT, cleaning, etc.
      - Provide any other ad hoc general administrative support to senior staff as needed.
      - Familiar with general ERP systems.
    Required Core Skills & Competencies:
    • 1+ year experience in a Personal Assistant, or similar administrative role.
    • Strong organisational and multitasking abilities.
    • Work efficiently both as a team or independently.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and scheduling tools.
    • Ability to handle sensitive information with confidentiality and discretion.
    • Problem-solving mindset with a proactive approach.
    • Strong attention to detail and ability to meet deadlines.
    Preferred Qualifications:
    • Experience in event planning or project coordination.
    • Implementing systems or project coordination.
