  • Harcourts Grenadier is seeking a Roaming Office Administrator to provide essential administrative support across our 12 high-performing offices. This is a part-time position (approximately 25 hours per week) with the ability to work full-time hours when required, particularly when covering for Office Administrators or Personal Assistants on leave.

    You'll play a pivotal role in keeping our offices running smoothly, stepping in where needed to provide seamless administrative and operational support. The role will also include providing support to our corporate team and Commercial division, offering you the opportunity to work closely with various departments across the wider business.

    What We're Looking For:

    You'll be someone who takes initiative, communicates with ease, and is equally comfortable switching between tasks and adapting to changing priorities. This is a role for an admin superstar who enjoys variety, loves real estate, and knows how to deliver professional service with a personal touch.

    Real estate industry experience is highly desirable, particularly if you're familiar with platforms like Vault or Property Suite, and have worked in environments where sales documentation, property marketing, or consultant support are part of the day-to-day. Experience with marketing tools such as Canva is also a big plus.

    Key Responsibilities:
    • Reception duties and first-point-of-contact service for clients when covering front desks
    • Provide administrative support to consultants and management across various offices
    • Step in as Personal Assistant for real estate consultants during absences
    • Update and maintain data in our internal CRM system (Vault)
    • Process sales documentation with accuracy and efficiency
    • Manage vendor marketing funds and invoicing
    • Assist with onboarding and induction of new team members
    • Create flyers, brochures, and marketing collateral using Canva
    • Support wider operations and admin teams with day-to-day office tasks
    What You Bring to the Table:
    • Proven experience in an administration or office support role
    • Exceptional attention to detail and time management skills
    • Strong proficiency in Microsoft Office Suite
    • Excellent written and verbal communication skills
    • Tech-savvy with the ability to quickly adapt to new systems
    • A team-first mindset with a proactive, can-do attitude
    • Professional presentation and a warm, approachable manner
